Many users would like to bring software or hardware in from home and use it on their classroom computer. Please remember users cannot just bring software and hardware in from outside of the school district without following procedures. If you are not familiar with or have forgotten the procedures here is a chance to find out. This information is also available on the Acceptable User Agreement and Computer Regulation. When you bring software or hardware into the classroom you must first submit the request to your supervisor to have the software or hardware installed on your computer. Your supervisor, in turn, will submit the request to the technology office on behalf of the user. If the software or hardware is personal property of the user the software or hardware will become property of the GEHRHSD. Software must have a license to be installed on any computer, regardless of the location. If the software has a single user license (it can only be installed on one machine only) and the user installs the software on their home computer it cannot be installed on their school computer. By donating the software or hardware to the school district the user has allowed the license of the software to be used only on the school computer, not outside of the school district. Hardware can only be used on the school computer, not on a computer outside of the school district. There are 2 reasons for having a supervisor submit the request. First, a supervisor can decided as to whether or not software or hardware is necessary to enhance the user's job function. Second, a supervisor can determine as to whether or not an existing copy of the hardware or software is already installed. Please remember, per the GEHRHSD each user signed in the beginning of the school year, installing software without a supervisor's and Technology department's consent is a violation of the GEHRHSD agreement.

Why can't we install whatever programs we want on our computers?
First, district computers are just that, district computers. These computers are property of the school district and should be used only for work purposes. While you can listen to music while working on the computer via the internet or CD Rom, a user cannot turn their computer into a personal CD burner, jukebox or game machine. Second, while we in the technology department do not always have all the answers, we do know about compatibility. We know some programs are not compatible with other software that already exists on the computer. We know hardware does not always work with software correctly. Third, please remember it is rare that one user will use a computer, meaning many of the computers have been setup for multiple users. Not every user wants to see or be affected by 'your' programs. Some programs can have annoying popup windows.

LCD projectors can be connected to the classroom computers. If you are having problems with this please see some one in the media department or the distance learning technician.

Student and administrative networks are separated for reasons of security. We will be evaluating software packages for next year to allow teachers and students to share files. A committee will be formed to find the best solution for the district.

How can a teacher unlock frozen laptops when previous users did not log out properly?
This year it is very easy to log a student off if a laptop has been locked. A student's user id and password is comprised of the Alt 1 and Alt 2 information of a student in SASI/ClassXP which can be found on the third tab of the student atom. Also, we have removed power restrictions that were in place on the laptops at one time, thus reducing the chance of a user locking up a laptop.

Why can't students work on classroom computers without supervision.
Students should always be supervised when working on any computers. Teacher and administrative computers have access to secure information and classified files that should not be left unattended. Also, students should always be monitored in computer labs to ensure acceptable use of computers.

Can teachers access the server (Integrade, Word documents,etc.) from home?
At this time it is not possible to access network applications from home. You can work in Integrade by installing a copy of the software on your home computer, which is permitted in this school district. You can also save documents to a "shared" folder in K12usa web mail service. After a user logs into K12usa, select "WebMail". After the WebMail screen appears you should see a list of options along the left side of your screen. Almost near the bottom of these options is a link titled "My files". Here you can save information and access these files from anywhere you can access K12usa email service.

If teachers can can load Integrade onto their home computers, why can't they borrow copies of MS Office 2003 to load on their home computers as well?
The licensing for Integrade and MS Office is different. The licensing for Integrade does allow for faculty members to install a copy of the program on their home computers. However, the licensing for Office 2003 does not permit this. Microsoft does have reduced rates for faculty and students.

Why isn't there a teacher station in the computer lab in 602 at Absegami?
There was a teacher station in this lab when a teacher was assigned to the room. Once the teacher was assigned to another classroom the teacher pc was removed. We have had a couple of requests for a teacher computer in this lab and will work towards getting one installed.

What do we do if our internet is down on our computer and we cannot send in a trouble tracker?
Great question! The order of reporting a problem with software or hardware is as follows:
1. Report the problem using trouble tracker.
2. If you are unable to access a computer have your supervisor report the problem.
3. If your supervisor is unavailable see if a colleague will assist.
4. If a colleague is not around try another supervisor or administrative staff person.
The trouble tracker system is for users to report technology problems. We on the technology staff view the trouble tracker system as people getting in line for customer service. We try our best to resolve problems in the order in which they were reported.

What is an easy way for accessing the procedure to send completed electronic forms to supervisors?
In the near future we plan on having a couple of ways for 'how to' problems. On way is IPTV. We are in the process of making videos on how to do various things like send email with attachments and change SASI passwords. These videos can be accessed using your IPTV viewer installed on each computer in the district. Second, we are developing a technology link to the district web site with to help with common tasks, online training and frequently asked questions.
However, the instructions for electronic forms and the flow path are located on your desktop. After you login click on the electronic forms icon and the information is at your fingertips.

What should I do when a notice comes up Do you want to debug? Yes or No. Why is this happening?
As I stated earlier, we do not know everything, but we can try our best to resolve oversights on our part. With the improvement of Internet Explorer came other unwelcomed and unnecessary improvements. One is the 'debug' enhancement. We are in the process of removing this on each computer.

Why can't we use IDrive to share folders and files between users?
Shared folders are available by request from a supervisor. Many users are already sharing folders for specific reasons. We prefer to using Novell resources if we can and in this case it is possible to achieve the same goal. Setting up shared folders also allows us to control server space and other resources and track resource usage.

I would contact hotmail about this problem. If the attachment was created in a program that is not installed on your computer in school (a Word Perfect or Microsoft Works document) your attachment will not open correctly since the application is not installed on the school computer. A common problem is users attempting to open Microsoft Works documents created on a home computer on a school computer with Microsoft Word. These programs are both word processing programs, but are not the same. You can open Works documents with Word and vica versa. For more detailed instructions please submit a trouble ticket.

Why when I open up a word document, I am asked about enabling or disabling macros? Should I enable or disable? How will either procedure affect the operation?
New software sometimes brings new problems. Without getting too much in detail, Microsoft Word uses something called a template and a default template is used when you create a new Word document. Silanis (online form software) also uses a template. Every now and then Microsoft Word tries to restore its template and displace Silanis's template presenting the message you see from time to time. Microsoft Word tries to protect itself by preventing foreign templates. If you see this message you should chose to 'enable' this macro (template). You can also check the following within Microsoft Word.
1. Click on 'tools' in Microsoft Word and expand the 'tools' menu.
2. Find the 'Macro' link, then select 'Security' and click on it. A menu will appear
with several options.
3. Please make sure the security level is set to 'low'. The virus scan software on
your computer should protect against macros intended to do harm to
documents.

Most district users are located in one building, thus only need one account. However, there are staff that are required to accessing resources at each school. If you are such a user and do not already have an account you can do so by contacting the tech department.

Why can't we set our own desktop backgrounds and change our resolution?
Every user having the same background keeps everyone on the same level. Most users do not realize how offended other people can be by some desktop backgrounds. Resolution settings are necessary for the televisions to project the computer image.

Why can't I bring my wireless laptop in from home and plug it into the network?
You can bring laptops in from home to do work. You cannot connect laptops to the network. First, we do not know what you have on your laptop from a virus point of view. Connecting a device to the network with a virus could possibly bring the network to a screeching halt. Second, please understand, if something does happen to your laptop at school, we will not fix it. Third, a user's laptop may not have compatible software with what is already being used. Fourth, we in the technology staff our aware of all devices on the network that was installed. If there is a problem on the network we have an idea of where to look first for resolving a network wide problem. Users bringing in devices such as laptops can make it more of a difficult task for location and resolving a problem.

Why can't we access our local hard drives?
We removed the ability to browse and access your local hard drive to prevent users from installing unapproved software and organize file storage. We received many trouble tickets from users asking 'Why can't I find the file I saved, I know I saved it on my hard drive?' If you want to save information you can save it in one of many places: 'My Documents' directory, Zip disk, floppy disk, memory stick, and last, but not least, the best place, User directory. Always keep in mind saving to your local hard drive is a good idea, but if your hard drive crashes and you have no backup, there is no way to recover your documents. It is always a good idea to save to your 'My Documents' directory as well as a zip or floppy disk, and your user directory. Your user directory is backed up 5 days a week.

After putting in a trouble ticket you should check your mail. There are times when a member of the technology department will respond to a trouble ticket and request more information. We try to resolve trouble tickets as quickly as possible. If you do not get any type of response within a couple of days please have your supervisor contact the technology department.

Why can't I get audio to come through my TV when I use media from my computer (play a video, DVD or some kind of presentation).
There is no audio connection from the TV to the computer, only a video connection. Any audio will come from the speakers attached to your computer, not from the TV. At this time, it is not possible to play audio from your TV. We will try to have the audio play through the television next year.

I print a lot of large print jobs and I need ink. Why can't I get an additional ink cartridge?
As a lot of you know ink cartridge replacements are very expensive so please keep the following in mind: Small or color only print jobs should be sent to the local printer directly attached to the computer. Large or black and white only print jobs should be sent to a network printer. If the printer directly attached to the computer is in need of ink a network printer is available as a backup. Ink requests are usually replaced the same day or first thing the next morning.
